GreenWall IT Solutions ("GreenWall IT," "we," "us," or "our") respects your privacy. This Privacy Policy explains what personal information we collect, why we collect it, how we use it, and your rights regarding that information, in connection with our VoIP, AI Voice Receptionist, and related IT services.
Account & billing information: name, business name, email address, mailing/service address, and phone number, collected when you register for an account or subscribe to a service.
Identity verification for VoIP services: for VoIP phone number provisioning and porting, we may collect a government-issued photo ID (such as a driver's license) as required for carrier identity verification and E911 (emergency service) address registration, in accordance with applicable telecommunications regulations. Identification is collected only where a provisioning, carrier or regulatory purpose requires it, and is kept only as long as that purpose or the law requires.
Payment information: we do not collect or store your full credit or debit card number. Card details are entered directly into our payment processors' secure, hosted checkout pages, and we only receive limited, non-sensitive confirmation data (such as a payment status and the last four digits of a card, where provided by the processor).
Call data (AI Voice Receptionist): if you subscribe to our AI Voice Receptionist service, calls answered by the receptionist are processed by our third-party AI voice platform provider in order to deliver the service and notify you of messages. The provider processes the spoken conversation to produce an AI-generated summary of it — typically the caller's name, their company, the reason for the call, and whether it was marked urgent, where the caller provides those details. We receive and store that summary and those details, together with the caller's number and the date, time and duration of the call; we do not store the audio or a transcript of the conversation in our own systems. Where audio call recording has additionally been enabled on an account, recordings are processed and stored by that provider as well, and callers are told at the beginning of the call that the call is being recorded.
Usage data: call volume, minutes used, and related service usage statistics, used to provide billing and plan-usage features in the Portal.

We may use any third-party carrier, platform or service provider to deliver the Services, and may change providers from time to time. The identities of our carriers and platform providers are confidential commercial information. The categories of provider, what each handles and where, are set out below; further detail is available to clients under a confidentiality agreement on request.
These are the categories of provider that process information on our behalf to deliver our services, what each handles, and where it is processed. Each processes data only as needed to provide its service. Our services are delivered under GreenWall's own agreements with these providers; clients contract with GreenWall alone. We tell clients before adding a provider that would handle their callers' data. Provider identities can be disclosed to a client under a confidentiality agreement on request.
Some of the service providers described above operate outside Canada, and information handled on our behalf — including call transcripts and summaries — may be stored or processed in other countries, including the United States. While it is held in another country, that information may be accessible to the courts, law enforcement and national security authorities of that country under its laws. We use providers that commit to appropriate contractual and security safeguards, and we remain accountable for personal information transferred to them.
The AI Voice Receptionist answers calls automatically. It takes messages, answers routine questions from the information its subscriber has configured, and transfers callers to the people or departments its subscriber has chosen. It does not make decisions that have legal or similarly significant effects on a caller, and a caller can reach a person at any time by asking to be transferred or by calling back during business hours. Where the receptionist has been enabled to answer text messages for a subscriber, the same applies to texts.
Automated speech recognition can mishear. Summaries are provided to the subscriber as an aid and may contain errors and should be reviewed before being relied on for any decision about an individual; the subscriber, not the caller, is responsible for acting on them.
A business that uses the AI Voice Receptionist is responsible for its own caller-facing privacy notices and for any notice or consent that applicable law requires for the recording, transcription or automated handling of its calls. We give our clients the information about the service's processing that they need to meet those obligations.
We retain your account and billing information for as long as your account is active and as needed to comply with legal, tax, and accounting obligations. Government ID information collected for phone number verification is retained only as long as required for regulatory compliance.
For the AI Voice Receptionist, we keep a caller's name, number and company for 24 months after their most recent call, call records used for billing for 24 months, and message notifications in the Client Portal for 90 days. Deletion is automated and runs daily. Where audio recording has been enabled on an account, recordings are retained in accordance with our AI voice platform provider's retention settings, which we can adjust on request.
We take reasonable technical and organizational measures appropriate to the sensitivity of the information, including access controls and least-privilege administration, multi-factor authentication for the Client Portal, storage of third-party credentials outside the web-accessible filesystem and encrypted at rest, secure transmission, logging of administrative actions, ongoing security maintenance, and secure deletion practices. Payment card details and call audio are handled by specialist providers rather than stored by us. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
You may request access to, correction of, or deletion of your personal information by contacting us at the email below. Some information (such as billing records) may need to be retained for legal or regulatory reasons even after a deletion request.
If you called a business that uses our AI Voice Receptionist and want your details removed, contact that business; it is the organisation responsible for your information, and it will instruct us, unless the law requires us to respond to you directly. We erase a caller's records from the systems we control normally within five business days of that instruction and confirm what was removed. Deleted records may remain in routine backups for a short period before being permanently overwritten.
We send commercial electronic messages — promotions, product updates and news — only to people who have given us consent to receive them, and we keep a record of when and how that consent was given. Every such message identifies us, links to the sender information in section 13 below, and carries a working unsubscribe link.
You can withdraw consent at any time, either by using the unsubscribe link in any message or by writing to us at the address in section 13. We action unsubscribe requests without delay and in any event within 10 business days, as required by Canada's Anti-Spam Legislation. Withdrawing marketing consent does not stop service and billing messages about an account you hold with us, which are not commercial electronic messages.
Our services are intended for business use and are not directed at individuals under 18. We do not knowingly collect personal information from children.
We may update this Privacy Policy from time to time. Material changes will be communicated via email or Portal notice.
